RESPONSIBILITIES OF “MONGOLIA TREKKING”
We are responsible for executing you travel according to agreed itinerary and conditions. We take responsibility for the quality of services provided by us and by sub-contractors except for circumstances when services were influenced by reasons caused by extreme weather conditions, natural calamities, airlines, public strikes, travel and quarantine restrictions and other governmental regulations and acts as well as by client’s own health conditions. We are responsible for identifying any foreseeable risks and obstacles associated with your holiday. Our liability is limited to the total cost of your travel arrangements. Adventure travel, by its very nature, may carry greater risks than other less vigorous types of leisure. We will alert you of such risks at earliest possible occasion and do everything in our power to prevent them. Mongolia Trekking will provide you with a visa support and information on obtaining Mongolian visas.
CONFIRMATION OF YOUR TRAVEL AND PAYMENT CONDITIONS
A deposit of 25% of the base price for 2 persons is required to secure your place on your selected tour. On receipt of your deposit, Mongolia Trekking will email you a confirmation to verify your travel arrangements and a detailed Packing List for the chosen type of travel. The balance payment is then required no later than 45 days prior to tour start date. If you book less than 45 days prior to tour start date, full payment is required.
CANCELLATION AND REFUNDS
Due to the short nature of the Mongolian travel season (June, July, August & September) services for travelers tend to be overbooked. Therefore all local facilities and services are pre-booked well in advance and incur penalties in case of cancellation.
The following charges will be withheld from your payment in case of cancellation on your end:
- 46 and more days prior to tour start: 50% of the tour DEPOSIT per person
- 45 to 31 days prior to tour start: 100% of the tour DEPOSIT per person
- 30 to 16 days prior to tour start: 50% of the full tour price per person
- 15 to 0 days prior to tour start: 100% of the full tour price per person
All tour cancellations will require notification in writing to Mongolia Trekking by the person participating on the tour.
Once Mongolia Trekking starts delivering its services no refunds will be made for services unused due to reasons beyond our direct control. This includes unused accommodations, meals, sightseeing, activities, internal flights and transportation, services of guides, cooks and other travel staff.
In order to prevent you from possible risks and dangers due to the force majeure reasons mentioned in Section 1, we reserve the right to cancel or amend your travel arrangements with a prior notice. In the case of significant changes to the agreed tour itinerary and its execution conditions, you have the right to cancel your booking and be refunded. 50% of the tour DEPOSIT per person will be withheld in such a case. If the changes increase the cost of your holiday, we will notify you and invoice after your acceptance of the cost amendments. If the changes decrease the cost of your holiday we will also inform you and refund the difference to you. No refund will be made to a client, who is prevented from participation in the tour by our tour leader for the reasons, set in paragraph 3 of section 4 of this agreement.
You need to be in suitable physical condition to undertake the tour and be fully aware of possible risks inherent in adventure travel. You are responsible for paying for or providing your personal equipment, travel insurance, airport taxes, tips, the cost of visas, vaccinations, additional food and drink, and any other activities or provisions not included in the agreed itinerary.
Any special medical conditions or dietary requirements should be reported to Mongolia Trekking at the time of booking (fill in the appropriate fields in the Booking Form provided separately). You must ensure that your travel documents, passport and visas are in order and remain valid for the entire length of your stay in Mongolia.
Our Tour Leader/Guide reserves the right to prevent anyone from taking part in the tour, or part of it, if that person clearly displays insufficient physical ability to complete the tour without risking his own health or whose behavior potentially endangers the health, safety and emotional wellbeing of other participants.
A complaint regarding the quality of our services should be laid to us at your earliest opportunity. Whenever a problem arises during your trip please inform your Tour Guide/Leader in the first instance so that they solve the problem. If a problem cannot be solved locally you should contact our office. If there was no such possibility you should approach us in a written form not later than 30 days after the tour end. Mongolia Trekking will endeavor to address complaints promptly. Complaints laid later than 30 days since the tour end will be difficult to follow up.
It is essential to have a full insurance coverage from a reputable insurer. Travel insurance should cover costs of medical services delivered during your holiday, emergency evacuation, loss of or damage to your personal and others’ property and belongings.
Cost of our tours is calculated on the basis of twin occupancy for hotel rooms and tents. If you do not want to share your accommodation with another member (of the same sex) of the group a Single supplement fee will be charged. If such is your request please fill in the appropriate field in the Booking Form. The single supplement fee can be found on the tour description page. If no roommate of the same sex is available the Single Supplement fee will be charged by default.
