Please carefully read all sections of this agreement to be concluded between You and Mongolia Trekking.
1. RESPONSIBILITIES OF MONGOLIA TREKKING
We are responsible for executing your travel according to the agreed itinerary and service quality standards. We take responsibility for the provision and quality of services agreed upon and charged for by us, except when services are affected by force majeure events such as extreme weather, natural calamities, fire, flooding, airline or public transport disruptions, strikes and trade disputes, travel restrictions or quarantine, war or terrorist acts, and other governmental or political actions, as well as the client’s own health conditions.
We are not responsible for other services associated with your holiday—such as international flights, transit accommodation, insurance, etc.—that we did not arrange or charge for. Our financial liability is limited to the total amount we charge you for the travel arrangements.
Active travel, by its nature, may carry greater risks than less vigorous types of leisure. We will alert you to such risks at the earliest possible opportunity and do everything within our power to prevent them. Mongolia Trekking will also provide visa support and guidelines for obtaining Mongolian visas.
2. CONFIRMATION OF YOUR TRAVEL AND PAYMENT CONDITIONS
A deposit of USD 400 is required to secure your place on your selected tour. Upon receipt of your deposit, we will send a confirmation of your booking together with a detailed packing list for the chosen type of travel. The balance payment is required no later than 60 days before the tour start date. If you book less than 60 days before the tour start date, full payment is required at the time of booking.
3. CANCELLATION AND REFUNDS
Due to the short nature of the Mongolian travel season (June–September) and high demand, local services are secured with early prepayments, which incur penalties if cancelled. The following charges apply in the event of cancellation by you or your representative:
All cancellations must be submitted in writing.
To prevent risks arising from force majeure events (as defined in Section 1) or government travel restrictions, warnings or advisories, we reserve the right to cancel or amend your travel arrangements with prior written notice. In such cases, the above cancellation rules apply from the date on which Mongolia Trekking notifies you.
If amendments increase the cost of your holiday, we will notify you and invoice the additional amount upon your acceptance. If changes reduce the cost, we will refund the difference. No refund will be made to a client who is prevented from participating in the tour by the tour leader for reasons set out in Section 4.
Once Mongolia Trekking begins delivering its services, no refunds will be made for unused services due to circumstances beyond our direct control. This includes unused accommodation, meals, sightseeing, activities, internal flights, transport, and services of guides, cooks, and other personnel.
4. YOUR PARTICIPATION
You must be in suitable physical condition to undertake the tour and fully aware of the risks inherent in active travel. You are responsible for providing your personal equipment, airport taxes, gratuities, visa costs, vaccinations, additional food and drinks, and any activities or services not included in the agreed itinerary.
Any medical conditions or dietary requirements must be reported at the time of booking (in the Booking Form). You must ensure that your passport, visas, and travel documents are valid for the entire stay in Mongolia.
Our Tour Leader/Guide reserves the right to prevent anyone from taking part in the tour, or part of it, if that person clearly demonstrates insufficient physical ability to complete the tour safely, or if their behavior endangers the health, safety, or emotional well-being of other participants.
5. SUBMITTING COMPLAINTS
Any complaint regarding the quality of our services should be raised at the earliest opportunity. Problems arising during the trip should first be addressed with your Tour Leader/Guide. If the issue cannot be resolved locally, Mongolia Trekking’s management should be informed. If this is not possible, a written notice must be submitted within 30 days after the tour end date. Complaints submitted later than 30 days will be difficult to follow up.
6. INSURANCE
It is a condition of booking a tour with Mongolia Trekking that you are adequately insured for the full duration of the trip. Insurance must cover pre-existing medical conditions, illness, injury, evacuation, death, trip cancellation, and damage to or loss of personal property.
7. SINGLE SUPPLEMENT
Tour prices are based on twin occupancy for hotel rooms and tents. If you prefer not to share accommodation, a single supplement fee (indicated separately) will be applied. If no roommate of the same sex is available, the single supplement will apply by default.
